Operations Administrative Assistant

Location:  Englewood, CO 80112 - Hybrid role

Schedule:  Full-time, Monday-Friday | No weekend work required

Position Overview:

We’re seeking an organized, detail-oriented Operations Assistant to support our growing team. This role plays a key part in ensuring projects run smoothly from contract to completion, while helping us maintain our commitment to excellence across departments.

Core Responsibilities:

  • Office Shifts  (2-3 days per week) : Work on-site based in Englewood, CO 80112
  • Phone Shifts  (2-3 days per week) : Handle incoming calls, route leads and inquiries to appropriate departments.
  • Job Processing : Process newly signed contracts, audit job details, and prepare necessary documentation for Project Manager. Create and maintain job folders.
  • Permitting: Submit and track construction permits, maintain up-to-date contractor licenses, build relationships with local jurisdictions, and monitor regulatory changes.
  • Customer Service Support: Manage initial intake of customer inquiries. Monitor and respond to online reviews (e.g., Google, Facebook). Escalate to Customer Service Manager as needed.
  • Warranty Support: Receive and document warranty requests, troubleshoot basic issues, coordinate with clients and subcontractors, and schedule follow-up visits as needed. Escalate to Warranty Manager as needed.
  • Subcontractor Relations: Enter new subcontractor information, track documentation, and maintain current general liability and workers’ compensation certificates for licensing compliance.

Special Experience and Requirements:

  • Administrative Experience Preferred: Prior office or administrative experience is a plus. Candidates should be comfortable learning new computer software, multitasking, and collaborating across departments including Operations, Administration, and Sales.
  • Construction Knowledge: Familiarity with construction terminology and processes is beneficial but not required.
  • Strong Communication & Attention to Detail: Excellent written and verbal communication skills, along with a high level of attention to detail, are essential for success in this role.

Position Details:

·  Schedule: Full time, Monday through Friday

·  Work Environment: Hybrid remote, with 2-3 in-office days per week in Englewood, CO (80112)

·  Pay Scale: $21.00 - $23.00 per hour

Vacation/Holiday:

·  PTO: 2 weeks standard; increases to 3 weeks after 5 years of service

·  Holidays: 8 paid holidays annually
