IT Project Portfolio Analyst
Contract-to-hire (4 month contract until conversion)
Hybrid 4 days onsite (Fridays remote)
North Scottsdale
I. SUMMARY STATEMENT
The IT Project Portfolio Analyst is responsible for supporting the PMO Organization. This will be accomplished through oversight, tracking, reporting, driving results of the pillar intake process, operational portfolio process, as well as PMO tools administration and reports automation in accordance with the PMO processes and guidelines. In addition, this role will help to promote adherence of project tasks or the scrum team’s work to remain on time and according to the plan.
ORGANIZATION
This position reports to the Senior Manager, Technology Portfolio Planning and is an individual contributor with no direct reports. Regularly interacts with fellow members of the PMO Team, scrum teams, and other internal stakeholders.
III. PRIMARY DUTIES AND ACCOUNTABILITIES
Pillar Intake Process Support & Tracking:
- Responsible for the consolidated tracking, reporting and regular status updates to the Business Stakeholders and Discovery Teams on new and backlog intake requests to keep everyone apprised on the progress.
- Setting and driving milestones to ensure adherence to intake process SLAs.
- Responsible for an intake request transition to Delivery Teams if a request is deemed as an enhancement.
- Keeps project requests within the intake tool up to date with correct statuses and progress notes as well as scheduling meetings to maintain delivery schedule.
- Assists with status reporting automation, where applicable.
Tools Administration, Reporting Metrics & Automation:
- System Administrator for the PMO Tool, i.e., SmartSheets . and supporting role for the Portfolio Tool, i.e., EOS.
- Responsible for timesheets reporting and tracking, access rights. for new and non-active users, and all other general administrative functions in EOS and SmartSheets tools.
- Creates projects in SmartSheets tool and ensures ongoing maintenance for project records are up to date in both tools.
- Automates and streamlines new and existing PMO reporting from SmartSheets related to individual project reports and/or rolled up PMO Dashboards.
- Develops and automates reporting metrics for project success criteria and progress measurements related to cost trends, project status trends, schedule deviations, risks/issues, etc.
- Creates and generates reports required for SDLC audits which will be provided to PMO Leadership.
- Partners with PMO Leadership to create, update and distribute PMO tools policies and procedures.
Operational Portfolio Support
- Provides project coordination/oversight, timeline development and tracking, issue tracking & resolution, communication, and reporting to various Technology Domains on key priority technology operational initiatives.
- Develops and automates reports that bring transparency to the Operational Portfolio and assists Technology Leadership with decision making.
- Provides project mgt. support for critical initiatives tied to the operational portfolio as needed.
Program Management Support
- Assists PMs in developing the initial project schedule and/or sprint release plan, making certain that all scheduling conflicts and/or team dependencies are identified and resolved.
- Communicates between various teams, setting times and dates for meetings and/or scrum ceremonies to keep on schedule, and relaying any risks/issues with timelines, budgets and/or dependencies to the Program Manager.
- Assists Program Managers with coordinating implementation of mitigation plans and solutions in partnership with the impacted stakeholders.
- Assists Program Managers with producing or updating specific metrics/reports required for program status communication
SKILLS, EDUCATIONAL BACKGROUND AND EXPERIENCE
- Bachelor’s degree in computer science, CIS, MIS, Business or related field from a four-year college or university or equivalent education and/or work experience.
- Knowledge of the function of the PMO and various project management methodologies including waterfall, iterative, scrum, Kanban, etc.
- Self-motivated and self-starter.
- Proficiency with MS Office Suite, (including Project, Visio, Word, Outlook, PowerPoint, and Excel)
