Job Description

The Impact and Innovation team at the San Diego Symphony leads the organization’s social impact and learning programs, building connections with cultural institutions, nonprofit organizations, community leaders, and schools to advance the orchestra’s role as an international cultural ambassador, civic leader, and hub for local community activity.

The Impact and Innovation Assistant will assist in planning, implementing, and administering education and community programs to fulfill the mission of creating accessible and impactful experiences for the San Diego community. This part-time position requires collaboration with various departments, artists, and community partners to ensure the success of events and programs.

The ideal candidate will be energetic, detail-oriented and have experience supporting teams. They should also be an excellent and empathetic communicator, enjoy building relationships with a wide-range of people, and have a collaborative working style.

Requirements

Responsibilities

Administrative Support

  • Prepare program communications, such as drafting emails to educators and community partners.
  • Maintain Impact and Innovation team activity calendar on multiple software platforms.
  • Research, organize, and maintain inventory of program materials.
  • Collaborate with program and project managers to manage and order supplies, schedule volunteers, and to compile details such as schedules, transportation details, media releases, etc.
  • Assist with scheduling meetings, sending reminders, and following up with internal and external stakeholders.
  • Prepare meeting agendas, take meeting minutes, and follow up on action items.
  • Support data entry and maintenance for community and education partners.

Event and Meeting Support

  • Order and prepare hospitality for events and meetings including catering orders (guided by budget, allergies, and dietary restrictions) and catering management (including picking up food orders, meeting delivery workers, and setting up tables, chairs, utensils, etc.)
  • Support meeting setup, including submitting room diagrams and preparing materials.
  • Welcome community partners and/or guest artists and assist with logistical needs such as parking instructions, parking validation, etc.
  • Assist with chamber music visits.

Position Requirements

  • High school diploma or GED equivalent.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to collaborate effectively across teams and with diverse partners.
  • Experience in logistics coordination, or community engagement preferred.
  • Familiarity with education and nonprofit sectors in San Diego is a plus.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and database management.
  • Flexibility to work evenings and weekends, as needed.

Working Conditions

  • Work locations will be indoors and outdoors dependent on tasks at hand.
  • Normal office working conditions: sitting at a desk and computer terminal for long periods of time, typing and computer work, light to moderate lifting.
  • Normal front of house working conditions: standing for long periods of time, light to moderate lifting, noisy atmosphere.

Benefits

This is a part-time position, working up to 20-hours per week, with a pay rate of $17.25/hour .
