Job Description

Established Food Manufacturer is seeking a proactive and experienced Executive Assistant to support a small team of Senior Level Executives. The Executive Assistant is responsible for providing a full range of administrative support and will be critical to maintaining organization, priorities and optimal business practices. The ideal candidate demonstrates a strong sense of priority, anticipates the needs of others, is detailed and has exceptional communication skills.

Responsibilities Include:

  • Maintaining executives’ calendars and gatekeeping, including adding events, rescheduling appointments, and providing daily briefings
  • Preparing and maintaining expenses (business and personal) and credit card reconciliations
  • Arranging complex travel itineraries and accommodations
  • Preparing and distributing agendas, meeting minutes, and additional communication
  • Coordination of meetings and functions, including arranging facilities/catering, meeting materials and any necessary travel arrangements.
  • Controlling the flow of documents requiring delegation, execution and/or approval
  • Maintaining and organizing contacts and files
  • Completing special administrative tasks and assignments on an ongoing basis
  • Email management –field emails and respond to/execute urgent matters
  • Provide assistance/flexibility and assume cross functional duties for other team members as requested.

Key Attributes & Experience:

  • 5-10 years of experience of supporting C-Suite Executives.
  • Highly organized and able to manage multiple tasks and conflicting priorities under tight timeframes while maintaining a highest level of attention to detail.
  • Proactive nature with ability to make decisions with limited direction and information.
  • A self-starter with demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating needs are essential.
  • Demonstrated discretion and independent judgment when dealing with highly sensitive matters.
